Description

We are an established group of companies whos looking for an Office assistant cum receptionist to join our team in the headquarter in manama, the vacancy job description is the following:


• Acting As A First Point Of Contact ,Handling incoming and outgoing calls and all office correspondence.
• Assist in any general admin duties as assigned
• Provide customer service at front desk whenever is needed
• Ensure whole office area is tidy and presentable, with all necessary stationery and material such as pens, forms , files. Papers….ETC.
• provide basic and accurate information in-person and via phone/email
• maintain the cleanliness and tidiness of the office at all times
• Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook)
• Order office supplies and keep inventory of stock & pantry supplies
• Perform other clerical receptionist duties such as filing, photocopying, etc.
• Perform all other tasks assigned by the line manager
• Managing Diaries and Organizing Meetings and Appointments
• Typing, Compiling and Preparing Reports, Presentations and Correspondence
• Managing Databases And Filing Systems of the office
• Implementing And Maintaining Procedures/Administrative Systems
• Liaising With Staff, Suppliers And Clients
• Collecting And Filing Expenses
• Schedule and coordinate staff and other meetings
• Ability to handle extremely detailed and highly confidential information.
• Update calendars and schedule meetings for General Manager
• Provides general administrative support to others line manager when required
• Maintain and update central filing systems, archive documents and handle document storage for Operational, Finance , HR , and sales department.
• Assist in monthly closing when needed, such as sales, order bank, GST quarterly reporting and expenses analysis.
• Helping to install, configure and maintain the company’s IT framework
• Setting up hardware and software applications as and when required
• Providing general support for the company’s computer users
• Installing and maintaining various peripherals as well as installing relevant updates and patches





Candidate must possess the following skills and Requirements:

• Proficiency in Microsoft Office applications
• Hands-on experience with office equipment (PCs.printers.fax. routers)
• Tech Savvy and energetic
• Professional attitude and appearance
• Solid written and verbal communication skills
• Ability to be resourceful and proactive when issues arise
• Excellent organizational skills
• Multitasking and time-management skills, with the ability to prioritize tasks
• Customer service attitude
• Well groomed, presentable and confident speaker
• Supportive and team player
• Skilled in filing papers, operating office equipment, and handling digital files. Ability to coordinate with workers, vendors, and partners.
