Josh Stone Design Studio is a boutique, high-end interior design practice based in London, with projects spanning the UK, Bahrain, USA, Switzerland and Saudi Arabia. Known for its layered, timeless aesthetic and attention to craftsmanship, the studio works across residential, hospitality and commercial sectors. As we continue to expand our presence in the Middle East, we are seeking a highly organised and proactive Studio Manager / Design Assistant to join our growing Bahrain-based operations.

This is an opportunity to work on a diverse range of international projects, supporting the delivery of luxury interiors from concept through to installation and completion.

The Role

We are looking for a Bahrain-based Studio Manager / Design Assistant to work closely with the Design Director across a broad range of project coordination, procurement, design support, administrative and studio management responsibilities. This is a varied and hands-on role that would suit an organised, proactive and detail-oriented individual who enjoys working within a creative environment and being involved in the day-to-day delivery of luxury interior design projects.

The successful candidate will assist with project coordination, preparation of schedules and procurement documentation, supplier communication, programme management and general studio operations. The role will involve liaising with suppliers, contractors, consultants and clients, helping to ensure projects progress smoothly from design through to installation and completion.

As the studio continues to expand across the GCC, USA and UK markets, there is significant opportunity for professional growth and increased responsibility, including involvement in marketing, business development and wider studio management activities.

Experience within an interior design studio is preferred, although candidates from architecture, construction, hospitality, luxury retail or related sectors will also be considered.

Key Responsibilities

Design & Project Support

• Coordinate and complete project schedules including furniture, lighting, sanitaryware, brassware, ironmongery, finishes, fabrics and other specification documents based on information provided by the Design Director.
• Input project information into company schedule templates and create new branded documentation where required.
• Assist with the preparation, updating and management of FF&E schedules using Esti-PC, Programma or similar software.
• Maintain accurate records of specifications, pricing, procurement status, delivery information and supplier communications.
• Assist with the preparation of client presentations, quotations and project documentation.
• Support meeting preparation and follow-up actions as required.

Procurement & Supplier Coordination

• Communicate with suppliers to obtain pricing, lead times, technical information and product specifications.
• Prepare procurement purchase orders and issue documentation to suppliers as confirmation of orders.
• Track procurement activities and monitor delivery schedules for purchased goods.
• Coordinate with suppliers, freight agents and contractors to ensure products are delivered in accordance with project programmes.
• Maintain organised procurement records and documentation across multiple projects.
• Monitor procurement timelines and proactively identify potential delays or supply issues.

Project Coordination

• Assist with project coordination and tracking across multiple projects.
• Maintain project action lists, records and coordination documentation.
• Liaise with contractors, suppliers and consultants to track outstanding information, deliveries and project requirements.
• Assist in coordinating procurement activities with project programmes and installation schedules.
• Monitor project progress and report any issues, delays or coordination requirements to the Design Director.
• Support project delivery through installation and completion phases where required.
• Help maintain clear communication between the design team, contractors and suppliers throughout the duration of projects.

Studio Management & Administration

• Update project programmes based on information received from contractors, consultants and suppliers.
• Support the Design Director with administrative and organisational tasks as required.
• Manage studio filing systems, project records and documentation.
• Maintain clear communication with clients, consultants, contractors, suppliers and project stakeholders.
• Assist with diary management, meeting coordination and general studio administration.
• Contribute to the smooth day-to-day operation of the studio.

Marketing & Business Support

• Assist with the management of marketing activities and social media platforms as the studio continues to grow.
• Support the preparation of marketing materials, project updates and studio communications.
• Assist with website content updates, project submissions and business development initiatives where required.
• Contribute ideas and initiatives that support the ongoing growth of the business and brand presence.

Skills & Requirements

• Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint and Outlook).
• Excellent organisational skills and attention to detail.
• Strong written and verbal communication skills.
• Confident communicator with the ability to build relationships with suppliers, contractors, consultants and clients.
• Experience preparing schedules, procurement documentation and project tracking reports.
• Ability to manage multiple projects and deadlines simultaneously.
• Flexible, adaptable and proactive approach to problem solving.
• Self-motivated and capable of working independently within a small team.
• Understanding of interior design, architecture or construction processes preferred.
• Experience with Esti-PC, Programma, AutoCAD or Adobe Creative Suite would be advantageous but is not essential.
• Bahrain-based and able to work from the studio as required.
