Job Summary
The Administrative Coordinator is responsible for supporting the daily administrative and operational activities of the company, ensuring smooth communication between departments, maintaining accurate records, coordinating branch operations, and assisting management in achieving organizational goals.
Administrative Support
• Manage daily administrative tasks and office operations.
• Prepare official letters, memos, reports, and company correspondence.
• Maintain and organize company records, files, and documentation.
• Coordinate meetings, prepare agendas, and record meeting minutes.
• Follow up on pending tasks and ensure timely completion.
Branch Operations Coordination
• Coordinate and support the daily operations of all branches.
• Communicate operational updates, promotions, and company announcements to branch teams.
• Monitor branch compliance with company policies and procedures.
• Follow up on branch requests and operational requirements.
• Coordinate stock counts and inventory-related activities.
Human Resources Support
• Assist in recruitment activities, including scheduling interviews and communicating with candidates.
• Prepare employee letters, warning letters, and internal communications.
• Monitor attendance, leave requests, and staff schedules.
• Maintain employee records and documentation.
• Support onboarding and orientation processes for new employees.
Communication & Coordination
• Act as a liaison between management, branches, warehouse, suppliers, and external partners.
• Coordinate with mall management regarding permits, events, and operational requirements.
• Handle internal and external communications professionally.
• Follow up with vendors and business partners when required.

Reporting & Documentation
• Prepare operational and management reports.
• Maintain accurate records of branch activities and performance.
• Monitor and update databases, spreadsheets, and company systems.
• Ensure all documentation is properly filed and accessible.
Systems & Data Management
• Assist in maintaining company systems and operational databases.
• Monitor data accuracy and ensure timely updates.
• Support implementation of new systems and operational processes.
• Generate reports and analyze operational data when required.
Event & Marketing Coordination
• Coordinate store events, activations, and promotional campaigns.
• Support product launches and marketing initiatives.
• Coordinate logistics and communication related to campaigns and events.
Compliance & Policy Management
• Ensure company policies and procedures are communicated and followed.
• Assist in implementing operational standards across branches.
• Support management in resolving operational issues and employee concerns.
