We are a reputable construction company, seeking a highly organized and proactive Executive Secretary to serve as the backbone of our leadership team. You will be responsible for streamlining office operations, managing executive schedules, and ensuring the office environment is professional and efficient. The ideal candidate is a master of multitasking who can anticipate needs before they arise.

Key Responsibilities
Executive Support

Calendar Management: Coordinate complex schedules, arrange meetings, and manage travel itineraries.

Communication Liaison: Act as the primary point of contact between executives and internal/external stakeholders.

Documentation: Prepare, edit, and proofread high-level reports, presentations, and bilingual correspondence.

Meeting Support: Attend executive meetings to record minutes and track follow-up action items.

Office Management

Facility Operations: Oversee office maintenance, vendor relationships, and supply procurement.

Administrative Oversight: Manage front-desk activities and supervise junior administrative staff if applicable.

Process Improvement: Develop and implement office policies and filing systems to improve workflow efficiency.

Finance Support: Manage petty cash, process expense reports, and assist with basic bookkeeping or invoice tracking.
