Job Summary

We are looking for a professional and customer-focused Receptionist to join our Property Management team. The ideal candidate will be the first point of contact for visitors and tenants, ensuring smooth daily operations at the reception area while maintaining a high level of customer service and building management support.

Key Responsibilities
Serve as the first point of contact and represent the company in a professional manner
Greet, assist, and direct visitors, tenants, and clients
Handle incoming calls and messages efficiently and professionally
Maintain tenant database and update records using Odoo system
Prepare and monitor maintenance requests and follow up on pending tickets
Coordinate with tenants, owners, and facility management team
Monitor building cleanliness and report issues regularly
Conduct routine inspections of common areas and ensure standards are maintained
Prepare daily, weekly, and monthly reports (occupancy, maintenance, etc.)
Handle tenant complaints and ensure timely resolution
Assist in rent collection follow-ups (cheques only for management flats)
Prepare tenancy-related documents (move-in, move-out, termination, inventory lists)
Support billing processes and coordinate with the accounts department
Maintain visitor logs and contractor records
Ensure all building systems (including intercom and fire alarm alerts) are monitored
Assist clients with available units for rent or sale
