About the role
We are seeking an experienced, confident and highly trusted Administration Support professional to provide dedicated support to the Managing Director and Chairman. This role is a key point of contact for senior leadership and requires excellent organizational skills, discretion, and the ability to manage a varied workload under pressure. Preference will be given to candidates with experience in the automotive sector.

Key responsibilities

Provide high-level administrative and secretarial support to the Managing Director and Chairman.
Manage and maintain executive calendars: schedule meetings, appointments and travel, and coordinate internal and external commitments.
Arrange travel logistics including flight bookings, hotel reservations, ground transportation and travel itineraries.
Prepare and handle visa applications (e.g., Chang’an visa and other business visas), including collection and submission of required documents and tracking application status.
Book tickets and manage travel-related changes and contingencies in a timely manner.
Prepare briefing materials, meeting agendas, minutes and follow-up action items as required.
Manage confidential and sensitive information with the highest level of discretion and professionalism.
Proactively identify opportunities to improve executive efficiency and office processes.

Required qualifications and attributes

Minimum 5 years’ relevant experience supporting senior executives.

Highly organized, detail-oriented and able to manage competing priorities.
Confident, reliable and able to work with confidentiality and sound judgement.
Strong written and verbal communication skills.
Professional demeanor and excellent interpersonal skills.

Preferred
Experience in the automotive industry or supporting executives in the automotive sector.
