Description

We are seeking a highly organized, detail-oriented, and proactive Personal Assistant to support a Managing Director overseeing multiple companies. The ideal candidate will assist with day-to-day operations, manage emails, schedule meetings, handle travel arrangements, and support a variety of business and personal tasks. This role is perfect for someone who is adaptable, can anticipate needs, and enjoys working in a fast-paced environment.

Key Responsibilities:

Email Management: Manage and respond to emails on behalf of the Managing Director, ensuring prompt replies and filtering important messages.
Calendar Management: Organize and maintain the MD's calendar, scheduling appointments, meetings, and conference calls across multiple time zones.
Meeting Coordination: Prepare for meetings by compiling relevant documents, sending reminders, and taking meeting minutes when required.
Task Management: Assist in organizing and prioritizing daily tasks, ensuring deadlines are met.
Travel Arrangements: Coordinate travel itineraries, including flights, accommodations, and transportation for business trips.
Document Preparation: Prepare reports, presentations, and other documents as required.
Liaison: Act as a point of contact between the Managing Director and internal/external stakeholders, including employees, clients, and business partners.
Confidentiality: Maintain a high level of confidentiality in all matters.
Personal Assistance: Assist with personal tasks and errands as needed, ensuring smooth day-to-day operations.
Event Coordination: Assist with organizing business and personal events as required.

Skills & Qualifications:

Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
Strong organizational and time-management skills.
Excellent verbal and written communication abilities.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Ability to manage multiple priorities in a fast-paced environment.
Attention to detail and problem-solving skills.
Professional discretion and confidentiality.
Flexibility to work outside of standard hours when needed.

Preferred Qualifications:

Bachelor’s degree in Business Administration or a related field.
Experience in supporting executives or directors in a corporate environment.
Knowledge of project management tools is a plus.
Ability to speak multiple languages is an advantage.

Work Environment:

This position requires flexibility, occasional travel, and the ability to work beyond normal business hours when necessary.
